Minutes of the HW Homeowners Association Board of Directors  Meeting

 Time and place:  March 2, 2005 7 PM at Tom Meades home

The meeting opened at 7PM.

 

Agenda Items:

 

The HW Board met with Community Relations Manager,   Glen Davis, for clarification of specific issues.   Comments of the meeting with Glenn are summarized.

 

Prioritization of the  remediation schedule  is determined by the class action lawsuit and has not yet been finalized. A  new community manager may be assigned to HW when remediation resumes.  Chad Morton will continue to work with homeowners who have already begun remediation.

 

Subcontractors are to abide by the policies and procedures established by Beazer and have been tasked with the responsibility  for policing themselves in terms of quality of work.  The main focus  of the Community Manager is   to keep the subcontractors on schedule and maintain communication with the homeowner.  It is evident that there are numerous homeowners in our neighborhood that were,  and currently are,   in the remediation  process without  the formal guidelines imposed by the class action and have had to police the quality of work within their own properties.  There was no specific discussion as to how this would change except that the quality of the subs. is a continued process of evaluation and improvement.

  Comments were made  regarding  homeowners  resolving  issues through different levels of communication,  lack of consistency in what the remediation process consisted  of  per household  and  general lack of communication.   It was discussed that homeowners have no documentation or communication of  completion of inspections required by code.  It was discussed that written documentation would provide the homeowner with needed reassurance that up to these critical points in remediation, policy and procedure and codes  were being followed, hopefully reducing incidents and amount of work that needed to be redone.  Glenn agreed  that providing documentation of inspections would benefit the homeowner and will look into it.

            A quarterly communication newsletter issued by Glenn is being considered for keeping homeowners informed.  Subcontractors are required to have their own liability insurance  as  a condition of  hire and are do not fall under homeowner policies. 

The subcontractor high turn over rate has been due to  contracted subs  not following the policies and procedures  as well as issues of timeliness and quality.   This contributes to  inconsistencies in what each homeowner experiences.  The subcontractors are to follow the policies as outlined by Beazer. The process was stated to be an ongoing process of evaluation and improvement.

 

Work such as painting and landscaping that was put on hold in the fall due to weather will resume as soon as weather permits.  There is a list of homeowners that have completion work for Spring.  Our neighborhood common areas that were damaged will also be addressed when landscaping resumes.

Glenn has been educating real estate agents about the remediation process and this will continue to be a priority.   Homes have been listed both in HW and Brittany Chase.The  two homes that were sold as buyback homes  in Brittany Chase were sold at a 16% and 12.5% appreciation levels.  The  release of homes for sale in Brittany Chase is being controlled to maintain market values. 

Homes that have brick that is no longer available will not automatically be “full drops” .  Masonry Cosmetics, Inc. has been enlisted to color match brickwork with original bricking.  Website is http://www.masonrycosmetics.com/aboutus.htm.

Tom Meade has contact information for mailbox replacement and this will be available on the Website.

 

Street Signs

Glenn Davis submitted a check to Huntington Woods for $2,000 for the cost of upgrading the street signage.  The street signs have been delivered and will be up when weather permits.  Board members Tim, Tom and Mike volunteered to appropriate the  equipment and provide the labor.

 

Newsletter

Janet Baker will be resuming publication of the newsletter and is soliciting information for inclusion. 

 

Landscaping

            Jon Peterson, Kim Lane and Lisa Tabor met on February 13 to brainstorm ideas for common area landscape improvement.  Lana from the Town Counsel attended to discuss possibilities of plantings on Ford Road through town program.  Members are in data collection phase with plans to have proposals in place by summer for community review and approval with planned phase one plantings for Fall 05.

 

Next Meeting

The possibility of inviting  Mr. Shevitz to attend a future meeting was discussed.

The next meeting will be on May 3rd at the Tabors, 1166 Winter Wood at 7 PM.
